Introduction

The WXP Printer Onboarding Tool, a desktop application, helps administrators find printers, configure the HP cloud connection, and add printers to HP Workforce Experience Platform (WXP).

Procedure

Follow these steps to onboard printers to WXP using the WXP Printer Onboarding Tool: 

Step 1: Installing the WXP Printer Onboarding Tool

  1. If the tool is not already installed, IT administrators can download it from WXP.

    1. Log in to WXP. The Home page is displayed.

    2. From the left menu of WXP, click Devices > Print > Add printers. The Add printers page is displayed.

  2. On the Add printers page, click Install the WXP Printer Onboarding Tool.

  3. In the Add Printers dialog box, click Install WXP Printer Onboarding Tool. The tool is downloaded.

  4. Run the installer from the download location and follow through the instructions. When the installation is complete, a success message is displayed.

Note: Step 1 applies if the WXP Printer Onboarding Tool is not already installed. If the tool is already installed, go directly to step 2.

After launching the tool, its icon appears on the taskbar.

Step 2: Accessing the Tool and Selecting an Organization

  1. Sign in to the WXP Printer Onboarding Tool using your  IT administrator HP account. 

  2. You are redirected to a browser to sign in to the account.

  3. Select the organization where you want to add the printers.

  4. Click Continue. The Welcome page is displayed.

Note: The tool also provides a Continue without signing in option for finding printers without an HP ID.

  1. (Optional) Use the Avatar menu to change the display mode and to sign out of the application.

Step 3: Finding Printers

Use the Find Printers step to locate the printers to onboard.

To find a single printer:

  1. Enter the printer IP address or hostname.

  2. Select the SNMP version. For additional information refer to the section - Configuring SNMP Settings for Printer Discovery.

  3. Click Find printer. Wait while the tool searches for the printer.

  4. After the tool finds the printer, select the checkbox next to the printer’s Serial Number.

  5. Click Next. The Configure cloud settings screen is displayed.

Note: The tool provides four options for finding printers, including uploading a CSV file.

Step 4: Configuring the HP Cloud Connection

Printers must have the HP cloud connection enabled before they can be added to WXP. Depending on the printer and network configuration, configure the proxy settings or provide printer administrator credentials.

  1. In the Configure cloud settings screen, select the checkbox next to Connect through a proxy if your organization requires a proxy for the printer to connect to the HP cloud.

  2. Enter the required information:

    • Proxy host name

    • Port

    • (Optional) Username

    • (Optional) Password

    • Proxy server exceptions list, if required. Use semicolons (;) to separate multiple entries in the proxy server exceptions list.

    Validation errors are displayed if required fields are not completed.

  3. Select the checkbox next to Enter EWS admin credentials and enter the required  credentials.

  4. Click Next.

The tool attempts to enable the HP cloud connection for the selected printers.

Note: If the HP cloud connection cannot be enabled for a printer, clear the checkbox for that printer before adding the remaining printers to WXP.

Step 5: Adding Printers to WXP

The Add printers screen displays the HP cloud connection status for the discovered printers. Only printers with the HP cloud connection enabled can be added to WXP.

  1. Review the printer details and HP cloud connection status.

    • For a printer with an error, select the printer and select Retry connection to try enabling the HP cloud connection again.

  2. Select the printers with an Enabled status.

  3. Select Add Printers. The tool claims the selected printers, configures them, and registers them with the HP Cloud. The Onboarding Summary screen is displayed.

  4. In the Onboarding Summary screen, the following statuses are displayed. Onboarding statuses are updated as devices are added to your account. Refresh the summary page to view the latest device statuses, or view the details of the onboarding attempt on the Job history page.

Confirming the Printer in WXP

  1. After onboarding completes, sign in to WXP and go to Devices > Printers.

  2. Search for the recently onboarded printer and confirm that it appears in the printer list.

The printer information is displayed, including firmware version, serial number, model name, date added, model number, connectivity, connectivity type, and status.

Onboarding History

An onboarding job is considered complete when the status in the tool is Onboarded and the printer appears in WXP Devices > Printers.

Use the History page in the WXP Printer Onboarding Tool to view all onboarding activities.

Select a timestamp to open the corresponding onboarding details page. On the details page, you can review the discovery summary, printer details, HP cloud connection status, onboarding status, and reason for failure, if applicable.

Configuring SNMP Settings for Printer Discovery

The WXP Printer Onboarding Tool uses the printer's SNMP settings during discovery. If the printer uses custom SNMP settings, enter the same settings in the tool.

If the SNMP values do not match those configured on the printer, the printer might not be discovered.

  1. In the Find Printers step, click Configure to set up the SNMP version.

  2. Select one of the two options:

    • SNMP v1/v2: This is the default option. If the printer uses the default community name, use public. If a different community name is configured on the printer, enter the same value in the tool.

    • SNMP v3: Select SNMP v3 and enter the same SNMP v3 details configured on the printer, including the required username, password, and other authentication settings. 

  3. After entering the applicable SNMP settings, continue with printer discovery.

Note: The number of printers that can be processed depends on the discovery method:

  • CSV upload: Supports up to 5,000 devices at a time.

  • IP address range: Supports scanning up to 10,000 IP addresses at a time.

  • Auto-discovery: Can discover a larger number of devices available on the network.

  • Adding printers to WXP: You can add up to 5,000 printers to WXP at a time, even if more printers were discovered and had the HP cloud connection enabled.

Troubleshooting Onboarding Issues

Errors After Submitting Printers for Onboarding

The following error messages can appear in the Onboarding Summary or Job History after printers are submitted for onboarding:

  • This printer model is not currently supported. You will receive a notification when support becomes available.

  • Another account is attempting to add this printer. Delete the printer from that account, or submit a request for technical support.

  • This printer is already connected to another account. Delete the printer from that account and try again.

  • This printer already has a connection pending.

  • This printer is already connected and is available in your printers list in WXP.

  • An internal error occurred. To try again, submit a request for technical support.

  • This printer is already connected to WXP using Print Fleet Proxy. To connect the printer through the cloud, remove it from HP Web Jetadmin and try again.

  • This printer isn’t currently supported by WXP. We’re actively working toward a resolution and will notify you when the printer can be added.

Errors While Enabling the HP Cloud Connection

While enabling the HP cloud connection, the WXP Printer Onboarding Tool can display the following error messages and recommended actions:

  • Invalid EWS admin credentials: Check your EWS credentials and try enabling the HP cloud connection again.

  • Unexpected issue verifying the printer’s identity: Try enabling the HP cloud connection again, or submit a request for technical support.

  • Issue verifying the printer’s identity: Make sure the printer is connected to the network and try enabling the HP cloud connection again.

  • Unexpected issue determining whether the HP cloud connection was enabled: Try enabling the HP cloud connection again, or submit a request for technical support.

  • Issue determining whether the HP cloud connection was enabled: Try enabling the HP cloud connection again, or submit a request for technical support.

  • Invalid proxy settings: Check your proxy settings and try enabling the HP cloud connection again.

  • Unexpected issue configuring the printer proxy settings: Try enabling the HP cloud connection again, or submit a request for technical support.

  • Issue configuring the printer proxy settings: Make sure the printer is connected to the network and try enabling the HP cloud connection again.

  • Unexpected issue enabling the HP cloud connection: Try enabling the HP cloud connection again, or submit a request for technical support.

  • Issue enabling the HP cloud connection: Make sure the printer is connected to the network and try enabling the HP cloud connection again.

  • HP cloud connection disabled while adding the printer to WXP: Try enabling the HP cloud connection again, or submit a request for technical support.
