Introduction
The WXP Printer Onboarding Tool provides a streamlined way to connect supported printers to the HP cloud and onboard them to HP Workforce Experience Platform (WXP).
The tool guides IT administrators through finding printers, configuring the required device and network settings, enabling the HP cloud connection, and adding the printers to the selected WXP organization.
The tool supports both individual and bulk printer onboarding. For large environments, administrators can discover, configure, and onboard up to 1,000 cloud-capable printers in a single batch. Onboarded printers automatically appear in the selected WXP organization.
Target audience
The WXP Printer Onboarding Tool is intended primarily for:
IT administrators who onboard and manage printers for their organization.
Printer administrators who manage printer fleets in WXP.
Prerequisites
Before using the WXP Printer Onboarding Tool:
The organization must have a valid WXP plan with Print enabled.
The user must have the IT Admin or Printer Admin role in WXP.
Sign-in is required to complete onboarding. The option Continue without signing in supports printer discovery only.
The administrator must have access to the WXP organization where the printers will be onboarded.
The WXP Printer Onboarding Tool must be downloaded from WXP > Devices > Printers > Pending Printers and installed on a PC that can communicate with the printers being onboarded.

Finding printers: The WXP Printer Onboarding Tool supports four methods to find printers:
Enter a single IP address: Find an individual printer by entering its IP address or hostname.
Find printers in bulk: Add printers by uploading a CSV file that contains printer IP addresses and hostnames.
Auto-discover printers: Automatically find multiple printers on the network.
Enter an IP address range: Find multiple printers by scanning a specific range of IP addresses.
Onboarding printers in bulk: The tool supports discovering, enabling cloud connectivity, and onboarding 1 to 1,000 printers using a CSV file.
Configuring printer credentials: IT administrators can configure Simple Network Management Protocol (SNMP) and Embedded Web Server (EWS) administrator credentials for the printers being onboarded. A configured credential is applied to the printers in the onboarding job.
Configuring network connectivity: The tool guides administrators through configuring a web proxy when printers require a proxy to communicate with the HP cloud.
Enabling HP cloud connection: The tool enables the required web services on supported printers so that they can communicate with the HP cloud. After configuration is complete, the tool claims the printers and associates them with the selected WXP organization.
Viewing onboarding status: The tool provides device-level onboarding results so administrators can identify printers that were successfully onboarded and printers that require attention.
Viewing onboarding errors: If onboarding fails, the tool displays an error that identifies the issue. Review the error and take the recommended action. Depending on the error, you might need to contact the Support team.
