Overview of Onboarding Printers to WXP

Introduction

To manage printers with HP Workforce Experience Platform (WXP), you’ll need to onboard them onto the platform. You can onboard printers to WXP in the following ways:

  • Directly through the cloud: This onboarding method lets you add cloud-connected printers by providing the printer’s serial number and product number. You can add them manually -

    • Up to ten printers per request, or

    • Create a CSV file and add them in bulk, up to 1000 records at a time.

Note

Before a printer can be fully onboarded to WXP through the cloud, you must enable HP cloud connection (known as web services on some printers) on the printer.

  • Through a Print Fleet Proxy: This method is for customers of HP’s legacy Printer Management solution, HP Web Jetadmin.

  • IT administrators who onboard and manage printers.

  • Printer Administrators who onboard and manage printers.

Onboarding Printers through the Cloud

You can onboard a printer to WXP through the cloud using the printer’s serial number and product number. Printers can be onboarded, cloud-connected, manually by adding up to 10 printers in a single request, or in bulk by uploading a CSV file with serial number and product number for each printer.

Considerations

Before onboarding printers to WXP through the cloud, you should be aware of the following considerations:

  • If printers are under a management contract with HP, onboarding them through the cloud could cause functionality issues, disrupt data collection, or delay shipment of replacement supplies.

  • Cloud-connected printers can only be attached to a single HP account. If you try to onboard a printer that is already attached to another account, such as a personal account or an account associated with another tenant, the onboarding process will fail.

Cloud Onboarding Workflow

Onboarding cloud-connected printers, whether manually or in bulk, follows this high-level workflow:

1. The Printer Administrator enables HP cloud connection (also known as web services on some printers) on each printer they want to onboard.

Note

This step can be performed before or after submitting the onboarding request in the WXP portal, but printer onboarding cannot be completed until this step is completed.

2. In the WXP portal, the Printer Administrator identifies each printer by its serial number and product number, either manually or via a CSV file.

3. The Printer Administrator submits the request to WXP.

4. WXP validates that the devices are printers and online.

5. Once validated, printers appear in the Pending Printers tab as WXP attempts to establish communication with each printer and complete the onboarding process.

6. Each printer is given an onboarding status as it becomes available.

7. Once printers receive a status of Connected, they are added to the Ungrouped group in the Printers tab.

8. WXP assesses each printer to determine whether it matches group rules for any admin-defined printer groups, and if so, the printer is added to the matching group.

Onboarding Printers Managed by Web Jetadmin using a Print Fleet Proxy

To help customers of HP’s legacy print management solution, Web Jetadmin, gradually transition to the forward-facing WXP solution, HP has developed the Print Fleet Proxy. This service, installed on the Web Jetadmin server, serves as a communication conduit between Web Jetadmin and WXP in the cloud. It enables organizations to migrate data to WXP without requiring a full commitment to the solution.

With Print Fleet Proxy, data resides in both solutions and is constantly synchronized, so administrators can check their fleet status in either Web Jetadmin On-Premise or WXP in the Cloud.  

When you connect a Print Fleet Proxy to WXP, it automatically onboards all printers managed by the associated instance of Web Jetadmin into WXP during its initial data synchronization between the services.

Print Fleet Proxy Onboarding Workflow

Onboarding printers through a Print Fleet Proxy follows the following high-level workflow:

1. The Printer Administrator installs a Print Fleet Proxy on a Web Jetadmin server.

Note: You must install a Print Fleet Proxy on each Web Jetadmin server in your organization.

2. The Printer Administrator opens the Print Fleet Proxy system tray app and generates a verification code.

3. In the Print Fleet Proxies tab of the WXP portal, the Printer Administrator enters the verification code.

4. WXP uses the code to establish communication with the Print Fleet Proxy on the Web Jetadmin server.

5. Once connected, the Print Fleet Proxy automatically onboards all printers managed by the Web Jetadmin instance and adds them to the Ungrouped group in the Printers tab.

6. WXP assesses each printer to determine whether it matches group rules for any admin-defined printer groups, and if so, the printer is added to the matching group.
