Introduction

The Bookings dataset in Workspace Insights combines calendar reservations with meeting room and device usage data. It shows what was scheduled and what actually happened in each space. You can see who books meeting rooms most or least, how fully spaces are used during the scheduled time, which recurring meetings are not attended, and where occupancy is often near capacity. These insights support space planning, safety and compliance, cleaning priorities, and overall workplace efficiency.

This  dataset helps you analyze:

  • The organizations, users, or geographies that book spaces the most or the least.

  • The organizations, users, or geographies that use spaces the most or the least, and how fully those spaces are used.

  • The recurring meetings created before widespread remote work that may be removed.

  • Meetings that might breach social-distancing rules, based on past occupied room capacity.

  • Cleaning guidance and prioritization based on which spaces were used and for how long.

Accessing the Bookings dataset

  1. In Workspace Insights, click Datasets > Bookings.

  2. Use standard filtering and sorting.

  3. Create dashboard panels to visualize the analytics.

Scheduled Meeting ID

The unique identifier of the scheduled meeting as designated by the collection source.

Scheduled Meeting Name

The name of the scheduled meeting that is set by the organizer and seen by all invitees.

Organizer ID

The ID (usually an email address) of the organizer of the scheduled meeting.

Recurring

Indicates whether the scheduled meeting is part of a recurring series (Yes) or a single instance (No).

Start Time

The start time of the scheduled meeting (date-time).

End Time

The end time of the scheduled meeting (date-time).

Start Hour

The hour the scheduled meeting started, as a single number (0–23) based on the organization’s time zone.

Exchange Resource ID (Meeting)

The unique identifier of the space that the scheduled meeting reserved.

Room Name

The name of the room associated with the unique room key (usually the Exchange Resource ID). The source of the room name is either the Vyopta Exchange integration or a client CSV upload.

Attended

Indicates whether the scheduled meeting was attended (Yes) or missed (No). Determined by matching room activity collected from the endpoint mapped to the room with the calendar data.

Booking Minutes

The allotted time for the scheduled meeting (minutes).

Attended Booking Minutes

Minutes between Start Time and End Time during which any activity was detected by the endpoint associated with the space. Example: For a 60-minute meeting from 1:00–2:00 p.m. where the room was used from 1:00–1:25 p.m., Attended Booking Minutes = 25.

Missed Booking Minutes

If a booking is missed, this equals the Booking Minutes (the duration of missed bookings).

Unused Booking Minutes

Minutes between Start Time and End Time during which no activity was detected by the endpoint associated with the room. Example: For a 60-minute meeting from 1:00–2:00 p.m. where the room was used from 1:00–1:25 p.m., Unused Booking Minutes = 35. Fully missed meetings are included (for a 60-minute missed meeting, Unused Booking Minutes = 60).

Occupied Room Capacity

Between the Start Time and End Time of the booking, the average value of People Count divided by Maximum Room Capacity when People Count > 0.

Endpoints that support people counting

Requires non‑zero Maximum Capacity on the room.

Avg People Count Per Meeting

The average number of people in the room during the scheduled meeting, as determined by the endpoint’s people-counting feature.

The maximum number of people in the room during the scheduled meeting, as determined by the endpoint’s people-counting feature.

Unique Scheduled Meeting Count

Yes

The unique count of scheduled meetings during the reporting period. A scheduled meeting is a calendar event with at least one space resource reserved. A scheduled meeting can have one or many bookings.
