Introduction
In most organizations, virtual meeting rooms (VMRs) and cloud meeting rooms (CMRs) are essential for day-to-day collaboration. However, not all rooms are used equally, and unused or overused resources can affect efficiency and costs. Understanding which conference rooms are most and least utilized helps IT and facilities teams to make data-driven decisions about capacity planning, licensing, and user adoption. HP WXP Collaboration application provides Advanced Analytics for clear visibility into these usage patterns. This helps IT administrators to optimize meeting experiences and reduce waste.
This article cover the multiple ways to identify the most and least utilized VMRs using Advanced Analytics.
Identifying Utilization
Option 1: Using the Adoption Feature
The Adoption tab of Tech Insights Analytics shows an automatically generated panel called Top VMR Summary. This panel can be configured to display data for Acano, CTPS, MCU, Pexip, and RMS systems.
You can also configure manually by clicking this link:
Click the panel link.
Select the Summary panel type.
Choose VMRs as the data source.
Select the desired System Type.

The resulting table provides a summary like this:

Note: Static VMRs, which were not used during the selected time period will not appear in the list. Percentage change is calculated based on the previous data for an equivalent amount of time. For example, if you are viewing data for one month, the percentage change is based on the previous month.
Option 2: Using the Datasets Tab
You can also use the Datasets tab to identify the most and least utilized conference rooms.
In the Datasets tab, meetings are displayed in descending order based on the Total Meeting Count. In a similar way, the other usage related columns, such as Total Minutes, can be used to rank utilization.
Tip:
Use the Date-Range picker at the top right of any tab in Tech Insights Analytics to adjust the date range for your analysis.
You can also use the Share or Forward icon at the top right of the page to schedule a one-time or recurring report.
