Using Smart Refresh Strategies

Introduction

Smart Refresh helps you make data-driven device upgrades that improve performance, lower costs, and align with your organizational goals. You can opt an HP-recommended strategy, select a strategy that focuses on performance or cost, or create a custom one. You can also select and manage product catalogs that contain the replacement models available to your organization.

Prerequisites

Before beginning, ensure that:

  • Devices are enrolled in WXP and report the required telemetry.

  • You have access to Labs > Smart Refresh.

  • A suitable product catalog is available.

  • You know the country where replacement devices will be purchased.

Note: The available results depend on the device and telemetry data available in WXP.

Accessing Smart Refresh

  1. Log in to WXP. The Home page is displayed.

  2. From the left menu of WXP,  go to Labs and click Try Smart Refresh. A Smart Refresh dialog box is displayed.

  3. In the Smart Refresh dialog box, select the country where new devices will be purchased from and click Let’s get started.

The Smart Refresh strategy selection page is displayed. The selected country and product catalog appear near the top of the page.

Using the Experience First Strategy

The Experience first (Recommended) strategy includes the devices that HP recommends replacing. This includes devices classified as Refresh Now and Refresh Soon.

  1. On the Smart Refresh strategy selection page, select Experience first (Recommended). The Experience first strategy page is displayed.

  2. Review the strategy summary, such as:

    1. Devices to Refresh

    2. Investment amount

    3. View Devices to Replace and Model Recommendation

    4. Low/No Cost Opportunities

    5. Sustainability impact

  3. Review:

    1. CPU Utilization and Memory Utilization widgets, which displays data based on utilization vs threshold.

    2. Refresh Breakdown section based “PC Model” and “Warranty Status.”

    3. Refresh Health by Age.

  4. In the Preferences panel, review the selected Refresh Urgency - Refresh Now or Refresh Soon.

  5. Select Devices criteria, such as:

    1. Device age: Select from the dropdown options. For example:  0-1 year, 4+ years, or Unknown.

    2. CPU model: Select from the dropdown options. For example: A12, i5, or i7

    3. RAM capacity: Select from the dropdown options. For example: 4 or 32

    4. Warranty status: Select from the dropdown options. For example: Unknown

    5. Device manufacturer: Select from the dropdown options. For example: HP or Dell

    6. Device model: Select from the dropdown options. For example: HP ELITEBOOK 755 G3 or XPS 15 9560

  6. Review your selection and click Apply.

The dashboard for the Experience first strategy and device recommendations are updated based on the selected preferences.

To clear the changes, select Reset.

Note: When no devices meet the selected criteria, the section will show the message No data to display.

Using the Performance Driven Strategy

This strategy focuses on maintaining device performance while managing replacement costs. CPU health and memory health are selected by default.

  1. On the Smart Refresh strategy selection page, select Performance driven. The Performance driven strategy page is displayed.

  2. Review the strategy summary, such as:

    1. Devices to Refresh

    2. Investment amount

    3. View Devices to Replace and Model Recommendation

    4. Low/No Cost Opportunities

    5. Sustainability impact

  3. Analyze:

    1. CPU Utilization and Memory Utilization sections, which displays data based on utilization vs threshold.

    2. Refresh Breakdown section based “PC Model” and “Warranty Status.”

    3. Refresh Health by Age.

  4. In the Preferences panel, review the selected Refresh Urgency - Refresh Now or Refresh Soon.

  5. Select Devices criteria, such as:

Using the Cost Saving Strategy

This strategy helps your organization control replacement costs while maintaining acceptable device performance.

  1. On the Smart Refresh strategy selection page, select Cost saving. The Cost saving strategy page is displayed.

  2. Review the strategy summary, such as:

    1. Devices to Refresh

    2. Investment amount

    3. View Devices to Replace and Model Recommendation

    4. Low/No Cost Opportunities

    5. Sustainability impact

  3. Analyze:

    1. CPU Utilization and Memory Utilization sections, which displays data based on utilization vs threshold.

    2. Refresh Breakdown section based “PC Model” and “Warranty Status.”

    3. Refresh Health by Age.

  4. In the Preferences panel, review the selected refresh urgency values.

  5. Select Devices criteria, such as:

    1. Device age: Select from the dropdown options. For example:  0-1 year, 4+ years, or Unknown.

    2. CPU model: Select from the dropdown options. For example: A12, i5, or i7

    3. RAM capacity: Select from the dropdown options. For example: 4 or 32

    4. Warranty status: Select from the dropdown options. For example: Unknown

    5. Device manufacturer: Select from the dropdown options. For example: HP or Dell

    6. Device model: Select from the dropdown options. For example: HP ELITEBOOK 755 G3 or XPS 15 9560

  6. Review your selection and click Apply.

The dashboard for the Cost saving strategy and device recommendations are updated based on the selected preferences.

To clear the changes, select Reset.

Creating a Custom Strategy

Create a custom strategy when the predefined strategies do not meet your organization’s refresh requirements.

  1. On the Smart Refresh strategy selection page, select Custom strategy. A Create New Strategy dialog box is displayed.

  2. In Step 1 of 2, search for a catalog or browse to select from the available catalogs.

    1. By default, Default Product Catalog is selected.

    2. Select the catalog that contains the replacement devices you want to use.

  3. Select Next.

  4. In Step 2 of 2:

    1. Name strategy: Provide an intuitive name

    2. (Optional) Description: Provide a brief description of 200 characters.

  5. Click Create. The Custom strategy page is displayed with the given name.

  6. In the custom strategy page, select Devices criteria, such as:

    1. Device age: Select from the dropdown options. For example:  0-1 year, 4+ years, or Unknown.

    2. CPU model: Select from the dropdown options. For example: A12, i5, or i

    3. RAM capacity: Select from the dropdown options. For example: 4 or 32

    4. Warranty status: Select from the dropdown options. For example: Unknown

    5. Device manufacturer: Select from the dropdown options. For example: HP or Dell

    6. Device model: Select from the dropdown options. For example: HP ELITEBOOK 755 G3 or XPS 15 9560

  7. Review your selection and click Apply. The dashboard for the custom strategy and device recommendations are updated based on the selected preferences.

  8. Review the strategy summary, such as:

    1. Devices to Refresh

    2. Investment amount

    3. View Devices to Replace and Model Recommendation

    4. Low/No Cost Opportunities

    5. Sustainability impact

  9. Analyze:

    1. CPU Utilization and Memory Utilization sections, which displays data based on utilization vs threshold.

    2. Refresh Breakdown section based “PC Model” and “Warranty Status.”

    3. Refresh Health by Age.

  10. In the Preferences panel, review the selected Refresh Urgency: Refresh Now or Refresh Soon.

  11. Once verified, click Publish. Until the strategy is published, it will be in Draft status.

Note:

  • Use the ellipsis icon with three dots within the strategy sections to export or copy the widget data as a PNG file.

  • Use the ellipsis icon with three dots in the top-right corner of the strategy page to export the strategy data. You can access the exported file later from the WXP Notification Center.

  • When no devices meet the selected criteria, the section will show the message No data to display.

Saving a Strategy

Use the Save as feature to keep a configured strategy for later review or reuse.

  1. Open a predefined or custom strategy.

  2. Configure the Preferences and click Apply.

  3. Click Save as. A Save as dialog box is displayed.

  4. In the Save as dialog box, enter the Strategy name. Optionally add a brief description of the strategy

  5. Click Save.

The saved strategy appears in the Saved Strategies section of the Smart Refresh page.

Viewing Devices to Replace and Model Recommendations

  1. Open a strategy.

  2. Select the View Devices to Replace and Model Recommendation section. Two tabs are displayed:

    1. Devices to Replace: Review the devices that meet the strategy criteria.

    2. Model Recommendation: Review the recommended replacement model for each device.

Recommendations are based on the selected product catalog and strategy preferences.

Changing the Product Catalog

Changing the catalog changes the replacement models available for recommendations.

  1. On the Smart Refresh landing page, click Change catalog. Two options are displayed:

    1. Select Catalog: Search for or browse the available catalogs.

    2. Manage Catalogs: Uploading new catalog, removing existing catalog, or download sample. Catalog upload may take up to 24 hours to upload.

  2. Select the required catalog.

  3. Click Save.

The selected catalog appears at the top of the Smart Refresh page.

Deleting a Catalog

  1. On the Smart Refresh landing page, click Change catalog. Two options are displayed:

    1. Select Catalog

    2. Manage Catalogs

  2. Click Manage Catalogs.

  3. Locate the custom catalog that you want to remove.

  4. Select the delete icon next to the catalog.

    • Delete options is not available for the default catalog.

  5. Confirm the delete action. The deleted catalog is removed from the catalogs list.

Note:

  • The number of devices, estimated investment, and recommendations change when you apply different preferences.

  • A dash indicates that the required information is not available or that no devices currently meet the strategy criteria.

  • Some of the widgets may show the message No data to display when no matching data is available.

  • Replacement model recommendations depend on the selected catalog.

  • Catalog uploads may require up to 24 hours to complete.
