Introduction

Smart Refresh is a beta feature available in the Labs module of the Workforce Experience Platform (WXP). It helps IT managers make smarter, data-driven decisions about replacing aging or underperforming PCs. It evaluates each device using nine performance indicators and summarizes them in a Refresh Urgency Score.

Smart Refresh guides you through three key steps:

  1. Identify: Each device receives a Refresh Urgency Score based on 9 key metrics. This helps you find devices that may soon affect productivity.
  2. Categorize: An AI model groups devices into hardware and software personas based on real usage patterns. These personas can help you choose the right type of replacement device.
  3. Recommend: If you work with an HP Partner, Smart Refresh recommends replacement devices based on:
  • The device’s persona
  • Your partner's uploaded catalog

If you don’t see any recommendations or if the list seems outdated, contact your partner and ask them to upload the latest catalog.
If you’re not partnered with HP, contact your HP account representative for device suggestions.

  1. CPU Utilization (30-day average)
  2. Memory Utilization (30-day average)
  3. Disk Utilization (latest reading)
  4. OS Crashes (last 7 days)
  5. BSODs (last 7 days)
  6. Startup Duration (latest reading in minutes)
  7. Shutdown Duration (latest reading in minutes)
  8. Software Errors for Collaboration Apps (Total errors in the last 7 days)
  9. Docking Station Power Status (Last recorded data, Yes/No)

Definition of Personas

Software Personas

  • Dormant Users: Users who do not frequently use their device
  • Office 365: Users who frequently use office applications, such as Excel and Word
  • Power Coder: Users who frequently use developer tools for coding
  • Productivity Pro: Users who frequently use productivity software, such as OneNote and Adobe Acrobat
  • Remote Worker: Users who typically use their devices remotely
  • Healthcare Worker: Users who frequently use medical professional software, such as ICU monitoring and hospital management systems
  • Cloud Strategist: Users who use extensive cloud services
  • Utility Expert: Users who frequently use utility software, such as WinRAR and System Monitor
  • Media Consumer: Users who frequently use media applications, such as video or music players

Hardware Personas:

  • CPU-Intensive: Devices that use a lot of CPU
  • Storage-Heavy: Devices that use a lot of storage
  • Standard Profile: Devices with average usage metrics that match a normal profile
  • Moderate Docking/Peripherals heavy: Devices that use a docking station and/or other peripherals frequently
  • Long-Session Display: Devices that typically have their displays turned on for a long period of time

Use Cases

  1. Limited budget for refresh
  • Scenario: You want to replace only a few devices this quarter due to a limited budget. The usual policy of replacing any device over 5 years old isn’t feasible.
  • Solution: Using Smart Refresh, identify the lowest-performing devices:
  • Filter by device age (For example, 5+ years)
  • Prioritize replacements by Refresh Urgency Score
