Onboarding Printers through a Print Fleet Proxy

Introduction

For customers of Web Jetadmin, HP’s legacy on-premise printer management solution, HP has provided a proxy service to help them transition to WXP. The Print Fleet Proxy serves as a communication conduit between a Web Jetadmin server behind your corporate firewall and WXP in the cloud.

To onboard their Web Jetadmin-managed printers to WXP, customers install the Print Fleet Proxy on a Web Jetadmin server and then connect it to WXP. Once the Print Fleet Proxy is connected to WXP, it automatically onboards all printers managed by that instance of Web Jetadmin.

If any printers are added to the Web Jetadmin server’s managed fleet after the initial data synchronization, they are automatically onboarded during the next subsequent data synchronization.

If your organization has multiple Web Jetadmin servers, you’ll need to install a Print Fleet Proxy on each server.

Target Audience

  • IT administrators who onboard and manage printers.

  • Printer Administrators who onboard and manage printers.

Onboarding printers through a Print Fleet Proxy is a three-step process:

1. Download the Print Fleet Proxy.

2. Install the Print Fleet Proxy on a Web Jetadmin server.

3. Connect the Print Fleet Proxy to WXP.

Prerequisite

  • The user must have administration rights on the computer to run the HP Print Fleet Proxy installer.

Step 1. Download the Print Fleet Proxy Software

This involves installing a Print Fleet Proxy on a Web Jetadmin server and then connecting that proxy to WXP. When the proxy is connected to WXP, all printers managed by the associated Web Jetadmin server are onboarded during the initial syncing of data between Web Jetadmin and WXP

To get the Print Fleet Proxy software:

  1. Log in to WXP.

  2. From the left menu of WXP, click Devices > Printers.

  3. On the Printers tab of the WXP portal, above the printers list, select Add printers. The Add Printers dialog appears.

  4. Select Connect through Print Fleet Proxy.

  5. Hover over the HP Print Fleet Proxy link, then click Download Now.

Step 2. Install Print Fleet Proxy

The Print Fleet Proxy installer installs two components:

  • A background proxy service that passes information between an on-premise installation of HP Web Jetadmin and WXP in the cloud.

  • A tray application that communicates with the proxy service.

To install a Print Fleet Proxy:

  1. Locate the WXP. PrintFleetProxy.x.x.xxx.msi in your Downloads folder, then right-click and select Install.

  2. Accept the license agreement and select Next.

  3. Follow the installation wizard to view HP’s Privacy policy and select a destination folder. Select Continue as you complete each page.

  4. On the Ready to Install page, select Install. The installer begins to install the Print Fleet Proxy components on the server.

  5. When the installation is complete, select Finish.

Once the installer successfully completes the installation, the Print Fleet Proxy automatically starts and connects to the Web Jetadmin service.

The Print Fleet Proxy tray app should appear in your computer’s system tray, typically in the bottom-right corner of the screen. If you selected Open Workforce Experience Print Fleet Proxy app, the Print Fleet Proxy tray app automatically opens, displaying the Welcome page.

Step 3. Connect the Print Fleet Proxy to WXP

Once installed, the Print Fleet Proxy automatically connects to the HP Web Jetadmin service that is already present on the server. However, you must still complete the communication loop by connecting the proxy service to WXP.

To connect your Print Fleet Proxy to WXP:

  1. In the Windows System tray of your Web Jetadmin server, locate the Print Fleet Proxy service tray app icon and launch the app. The first time you launch the app, the Welcome page appears.

  2. Click Generate Code. The app (via the Print Fleet Proxy service) requests an authorization code from WXP.
    When it receives the code, the tray app displays the code and launches a browser window to redirect you to the WXP portal, where you can complete the code verification process.

  3. In the browser window, log in to WXP. The Verify a Proxy dialog appears with the authorization code pre-populated.

  4. Click Verify. The Proxy Verified dialog appears.

  5. Click Allow to confirm that you want to connect the proxy to your organization’s WXP account.
    The Proxy Connected dialog appears. This dialog displays identifying information for the proxy you’ve just connected. By default, WXP names the proxy based on the name of the host computer.

  6. If you choose, edit the Proxy Name and Description, then click Done.

  7. When the verification process is complete, the proxy is connected, and the WXP portal displays the Proxies tab, with the newly added proxy at the top of the list.

    Once connected, the proxy begins onboarding the printers and synchronizing all printer information between the Web Jetadmin Service and WXP.  
    Printers onboarded through a Print Fleet Proxy are automatically added to a printer group named after the Proxy Name.

  8. Click the Printers tab, then in the groups panel, locate and click the group with the same name as the proxy you just added.

The printers associated with the Web Jetadmin server will gradually appear in the Printers list as they are onboarded.

Note

Depending on the number of printers managed by the Web Jetadmin, it may take anywhere from a few minutes to several hours to fully onboard the printers and synchronize the printer data.
