Managing Physical Assets

The Physical Assets module of the HP Workforce Experience Platform (WXP) enables you to effectively manage non-telemetry-enabled physical assets. 

This article provides a step-by-step guide to:

To view existing assets:

  1. Log in to WXP. The Home page is displayed.

  2. From the left menu of WXP, click Devices Physical Assets. The Assets listing page is displayed, showing the following default columns:

    1. Serial Number: A unique identifier of the asset as provided by the manufacturer. This column cannot be removed. 

    2. Asset Tag: A custom identifier of the asset as provided by HP. 

    3. Asset Type: The type of asset, such as:

      • Display: Includes monitors and external screens.

      • Dock: Refers to docking stations for laptops or other devices.

      • Keyboard: External keyboards connected to devices.

      • Mouse: Includes external mice or pointing devices.

      • Scanner: Includes devices used for scanning documents or barcodes.

      • Other: Used for devices that do not fall into predefined categories.

    4. Asset Name: The name of the asset. 

    5. Manufacturer: The company that manufactured the asset. 

    6. Model: The specific model number or name of the asset, as defined by the manufacturer.

    7. Asset Location: The physical location where the asset is stored or in use.

    8. Lifecycle Status: The current state of the asset in its lifecycle. Some of the common statuses include:

      • In Use: The asset is currently in use.

      • Decommissioned: The asset is retired or no longer functional.

      • In Repair: The asset is under maintenance.

      • In Stock: The asset is available but not assigned.

Note: Using the gear icon, also referred to as Column Option, add or remove fields from the default view. Use the Reset to Default option to restore the default settings.

Use Search and Filter functions to search for assets and filter the results based on certain criteria.

Filtering Assets

Refine your search results using the filtering option. 

  1. From the left menu of WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. Click the Filters icon, the Filter panel is displayed on the far right.

  3. Click New Filter. The Create Filter panel is displayed.

  4. In the Create Filter panel, enter the following details:

    • Filter Name: Enter an intuitive name for your filter.

    • Filter Type: Select the filter type as Public or Private

  5. Define filtering criteria:

    • Under Criteria 1, select a Field. For example, Serial Number or Asset Location.

    • Choose an Operator from the dropdown list, which varies based on the selected field.

    • Enter a Value for the selected field.

  6. (Optional) Add additional criteria by clicking Add Criteria:

    • Use the And or Or operator to combine conditions.

    • Define the additional FieldOperator, and Value.

  7. Click Save to apply and save the filter. The search results are displayed. 

For example, to filter assets where the Asset Type field is "Dock" and the Lifecycle Status field is "Active," apply the below filter conditions and click Save.

  • Define Criteria 1:

    • Field: Asset Type

    • Operator: Equal To

    • Value: Dock

  • Select the And operator.

  • Add Criteria 2:

    • Click Add Criteria

    • Field: Lifecycle Status

    • Operator: Equal To

    • Value: Active

Note

  • For text fields, such as Serial Number or Asset Tag, enter a keyword or partial match to filter results.

  • For date fields, use the calendar icon to select a Start and End date range.

Sorting Assets

To sort the asset list, click a column header, such as Asset Tag or Asset Type, to arrange the list in ascending or descending order of the selected field.

The Physical Assets module allows you to add devices individually or in bulk using a CSV file.

Adding a Single Asset

  1. From the left menu WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. In the Assets listing page, click Add assets. A dialog box is displayed titled Add Physical Assets to add the details. 

  3. In the Add Physical Assets dialog box, fill out the required fields:

    1. Serial Number

    2. Asset Type

  4. Click Save to add the asset.

The newly added asset is displayed in the Assets listing page.

Adding Multiple Assets using Bulk Upload

To add assets using a .CSV file.

  1. From the left menu WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. In the Assets listing page, click Add assets. A dialog box titled Add Physical Assets is displayed to upload a file. 

  3. (Optional) Download the .CSV template file to ensure the format is correct.

  4. Fill out the details in the recommended format and save the file locally in .CSV format.

  5. In the Add Physical Assets dialog box, click the Upload icon.

  6. Select the file to be uploaded from your system, and click Upload. A popup message is displayed indicating the import is in progress.

Note: The import process may take several minutes. When the import is completed, a popup message is displayed indicating the same.

The Export feature allows you to download the filtered list of devices in a .CSV or .XLSX format for reporting, auditing, or bulk updates.

Note: The Export button appears only when at least one device is selected.

To export the assets lists:

  1. From the left menu WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. Find the assets you want to export by using the search and filter features.

  3. Use the checkboxes next to assets to select them. When at least one asset is selected, the option to Export is displayed.

  4. Click Export. A dialog box titled Export Device is displayed.

  5. Choose an export option:

    • Current fields from table: This selection exports configured columns from the existing view. 

    • All editable fields: This selection exports all editable fields of the selected devices. This is primarily used for bulk updating device details. 

  6. Click Export to download the file in *.CSV or *.XLSX format. A popup appears with the message "Export is in progress. Find more details in the Notifications."

When the export is completed, the file can be downloaded from the Notifications (bell icon) in the top-right corner of the platform.

Tip: Exported files can be edited and re-imported to bulk-update asset details.

To delete one or more redundant and unused assets: 

  1. From the left menu of WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. Find the assets you want to delete by using the search and filter features.

  3. Use the checkboxes next to assets to select them. When at least one asset is selected, the option to Delete is displayed.

  4. Click Delete. A confirmation dialog box appears titled Delete Assets.

  5. Enter the required Security Code in the dialog box.

  6. Click Delete to confirm the action.

Note: Notifications about deleted assets appear in the Notifications (bell icon) in the top-right corner of the page.

  1. From the left menu of WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. Find the specific asset you want to view by searching or filtering. 

  3. Click the asset’s Serial Number or Tag. The Asset details page is displayed, showing the following details:

    1. Profile information: Shows the asset Name, Serial Number, Asset Tag, Cost Center, Lifecycle Status, Warranty, Asset Location, and Department.

      1. The profile information may vary based on the type of asset.

    2. Custom Fields: This section shows if any custom fields are added for tracking purpose.  

    3. System: This section shows the Asset Type, Manufacturer, Model, Manufacturing Date, Assigned Area, Deployment Date, and Retirement Date.

    4. Warranty: Displays the details of the warranty. If there is no warranty, the option to Add warranty is displayed.

  1. From the left menu of WXP, click Devices Physical Assets. The Assets listing page is displayed.

  2. Click the asset’s Serial Number to Tag to view the Asset details page. 

  3. Scroll to the Warranty section located at the end of the Asset details page.

  4. Click Add Warranty. A dialog box is displayed titled Edit Warranty.

    1. Enter the Warranty Name, Start Date, End Date, and a brief Description.

  5. Click Save to update warranty information. A popup message is displayed with a success or failure message.

The warranty details are updated and can be viewed in the Asset details page.
