Overview
HP Workforce Experience Platform (WXP) allows you to deliver a Custom Pulse directly to employees through Microsoft Teams Bot. A Teams Pulse can contain:
A direct message
An optional hyperlink
An optional survey
An optional company logo when a survey is included
After the Pulse is delivered, you can monitor delivery, participation, response rates, survey results, and individual delivery statuses from the Pulses area in HP WXP.
Availability
Microsoft Teams Bot delivery for Custom Pulses is available with the Pro and Elite tier, because these tiers includes both Microsoft Teams Bot integration and Custom Pulses.
Before you begin
Make sure that:
Make sure that the Microsoft Teams Bot integration is configured in HP WXP. For instructions see the Microsoft Teams integration article.
The Microsoft Teams Bot application or bot is installed for the employees you want to include.
You have permission to create and publish Custom Pulses. IT Admins and Pulse Admins will have these permissions.
You have identified at least one employee for the Pulse audience.
If Microsoft Teams Bot integration is not connected, HP WXP displays instructions to contact your Connector administrator. A link takes you directly to the Microsoft Teams Bot integration card on the Integrations page in the same browser tab.
Configure the Pulse content
Go to Pulses.
Select Create.
Select Custom Pulse.
In the delivery method dialog, select Microsoft Teams Bot.
HP WXP opens the Custom Pulse creation flow.
Configure the Pulse content
Enter a Pulse title and direct message
Enter a title for the Pulse. This title is used as the display name on the Pulse list and in Pulse results.
Enter the message that employees will receive in Microsoft Teams Bot.
You can also include a hyperlink. When a hyperlink is added, the associated standard-behavior checkbox appears automatically.
Include a survey
To add a survey, enable Include a survey with your Teams message.
You can then:
Add an optional survey title.
Select any supported question type.
Enter questions and answer choices.
Delete questions or answer choices.
Add up to 30 questions.
Add up to seven answer choices per question, plus an additional Other option where supported.
The survey title follows the same maximum-length validation behavior as a Pulse title.
NPS question confirmation message
When an employee submits an NPS question, Microsoft Teams Bot may display the additional text:
“Your response was sent to the app.”
This message is a result of the NPS question type and is expected behavior. It does not indicate a submission error or duplicate response.
Display the company logo
The company logo option is unavailable when Include a survey with your Teams message is turned off.
If you hover over the disabled option, a tooltip explains that the company logo can be displayed only when the Teams message includes a survey.
After you enable the survey option, the company logo setting becomes available and you can choose whether to display the logo in Microsoft Teams Bot.
Content validation
A Pulse must contain usable content before it can be published.
HP WXP prevents publication if either of the following is true:
The direct message is blank and the survey option is turned off.
The survey option is turned on, but no survey questions have been added, and the direct message is blank.
Existing components use their current error messages and character limits. New components use the limits and validation displayed in HP WXP.
Configure the schedule
Open the Schedule tab and select a priority.
Microsoft Teams Bot Pulses support date-based scheduling. Event-based triggers are not available.
Standard priority
For a Standard-priority Pulse, provide:
Start date
Start time
Survey response window, if a survey is included
The following fields are optional:
End date
Frequency
Survey response window
The Survey response window determines how long employees can respond before the survey expires.
If you configure a recurring frequency, the survey response window must be shorter than the frequency interval. HP WXP validates the value when it is entered and displays an error if the response window exceeds the selected frequency.
Note: The informational tooltip and frequency-related validation are displayed only when the frequency option is enabled.
Urgent priority
Select Urgent in time sensitive scenarios when the Pulse should be delivered as soon as possible.
Select the audience
Open the Audience tab to select recipients.
The audience table includes employees from the company who have the Microsoft Teams Bot installed. The table displays:
Employee name
Email address
Employee names are shown in first-name, last-name format. By default, the table is sorted by last name.
Use the checkboxes to select the employees who should receive the Pulse.
HP WXP prevents publication if no employee is selected.
Important: The Pulse is delivered from the company’s Microsoft Teams Bot app or bot identity, not from your personal Microsoft Teams Bot profile.
Disconnect the Microsoft Teams Bot connector
WXP protects Teams Pulse settings used by active Pulses.
An active Pulse is a Pulse with a Live or Scheduled status.
Disconnect Microsoft Teams Bot
If a user with both IT Admin/Pulse Admin or Connector Admin privileges attempts to disconnect the Microsoft Teams Bot connector used by an active Pulse:
WXP prevents the connector from being disconnected.
A dialog identifies the affected active Pulses.
Links to those Pulses are included.
If a user with ONLY Connector Admin privileges attempts to remove the Microsoft Teams Bot connector via the integrations page, that is used by an active Pulse:
A static message will appear asking them to refer to their IT admin to ensure no active Pulses are leveraging this connector.
Employee experience in Microsoft Teams Bot
Submitted surveys
After an employee submits a survey, the card indicates that the form has already been submitted.
If the employee returns to the message after the response window has ended, the card continues to show the submitted state. It does not replace the submitted state with a survey-expired message.
Expired surveys
When the survey response window ends, employees who did not submit the survey see the expired state and can no longer submit responses.
Partial responses
Employees can submit a partially completed survey.
HP WXP captures a survey response only after the employee selects Submit. Answers entered without selecting Submit are not captured.
View a Microsoft Teams Bot Pulse on the Pulse list
The Pulse list includes a Delivery method column that can be shown or hidden from the table settings gear.
The delivery method is displayed as one of the following:
OS Toast Notification
Microsoft Teams Bot
For a Pulse delivered through Microsoft Teams Bot:
Pulse type is Custom.
Created from is Pulses.
Delivery method is Microsoft Teams Bot.
View Pulse results
Open the Pulse to view its results.
A delivery-method tag appears beneath the Pulse title and identifies whether the Pulse was delivered through:
OS Toast Notification
Microsoft Teams Bot
The delivery-method tag is also displayed for existing OS Toast Notification Pulses.
For a Microsoft Teams Bot Pulse, Created from is always shown as Pulses.
Results tab
The Results tab includes the following key performance indicators:
Audience
Delivered
Total responses
Unique responses
Response rate
The Viewed metric is not displayed because its availability depends on individual Microsoft Teams Bot user settings.
Direct-message results
If the Pulse included a direct message, HP WXP displays it using the existing notification-results component.
If the message included a hyperlink, the component displays the click-through rate.
If the message did not include a hyperlink, the component displays the message content.
Survey results
If the Pulse included a survey, the Results tab displays a Survey Results section.
If a survey title was entered during creation, it appears in this section. Survey questions use the existing Pulse response visualizations and include response counts.
AI Sentiment Analysis
AI Sentiment Analysis is available when all of the following requirements are met:
The customer has the Elite tier.
The survey contains an open-text question or an Other answer choice.
The applicable question has more than 100 responses.
View schedule details
The Schedule tab follows the standard Pulse results behavior and can display:
Start date and time
End date, if configured
Frequency, if configured
Priority
Survey response window, if one was configured
For a Microsoft Teams Bot Pulse, the method is always Date-based.
View audience and delivery details
On the Audience tab:
Source is Microsoft Teams Bot.
The audience count reflects the number of employees to whom the Pulse was actually sent.
The Profiles table lists each employee’s name, email address, and delivery status.
Profiles are sorted by employee last name.
Possible delivery statuses are:
Delivered
Not delivered: Issues with Teams
Not delivered: Bot no longer installed
Export responses to Excel
You can export Microsoft Teams Bot Pulse responses to Excel.
The export includes:
Employee name
Email
Response date in UTC
Question
Response
Responses are ordered by response date. Employees who responded earlier appear before employees who responded later.
Duplicate a Microsoft Teams Bot Pulse
Duplicating a Microsoft Teams Bot Pulse follows the same behavior as duplicating an OS Toast Notification Pulse:
Content from the Content tab is copied.
Schedule settings are reset.
Audience selections are reset.
Review the copied content and configure a new schedule and audience before publishing the duplicate.
Troubleshooting
The Microsoft Teams Bot app shows “Installed for no one” in Teams Admin Center
The Installed for value in Teams Admin Center represents users or groups for whom an administrator has configured the app to be installed. It is not a list or count of employees who independently installed the app.
As a result, the app can still display Installed for no one when:
An employee installed the app manually.
A delegated application installed the app through Microsoft Graph APIs.
In app-centric management, administrators can configure installations for everyone or for selected users and groups. Microsoft also distinguishes administrator preinstallation from users installing available apps themselves.
Note: For additional Microsoft guidance, see Preinstall Teams apps for your organization’s users.
Microsoft Teams Bot is not available as a delivery method
Confirm that:
The Microsoft Teams Bot integration is configured.
Your HP WXP tier includes Microsoft Teams Bot integration and Custom Pulses.
You have permission to create Custom Pulses.
Use the integration link displayed in the creation dialog to open the Microsoft Teams Bot integration card.
A survey cannot be published
Verify that:
Required question content is complete.
The Pulse contains either a direct message or one or more survey questions.
The survey response window is completed when required.
The response window is shorter than the configured frequency.
An employee does not appear in the Audience table
Confirm that the Microsoft Teams Bot is installed for the employee and that the employee is available through the organization’s configured Microsoft Teams Bot integration.
A message was not delivered
Check the employee’s delivery status on the Pulse Audience tab. The status identifies whether the delivery failed because of a Microsoft Teams Bot issue or because the bot is no longer installed.
Frequently asked questions
Can employees submit a partially completed survey?
Yes. Employees can submit a survey without answering every question.
Are responses captured before the employee selects Submit?
No. HP WXP captures the response only when the employee selects Submit.
Why does an NPS response display “Your response was sent to the app”?
This additional confirmation text is associated with the NPS question type. It is expected Microsoft Teams Bot behavior and does not indicate a problem with the response.
Which HP WXP tier includes Microsoft Teams Bot delivery for Pulses?
The feature is available with the Pro tier because Pro includes Microsoft Teams Bot integration and Custom Pulses.
Which tier includes AI Sentiment Analysis?
AI Sentiment Analysis for qualifying Pulse responses is available with the Elite tier.
What happens when a Microsoft Teams Bot Pulse is duplicated?
The Pulse content is copied. The Schedule and Audience tabs are reset and must be configured again.
Does “Installed for no one” mean employees have not installed the app?
No. The value represents administrator-configured installation assignments and does not reflect all user-initiated or API-initiated installations.
