Using License Lens

Introduction

License Lens is a report within the Analytics module of HP Workforce Experience Platform (WXP) and it enables IT administrators and software procurement teams connect software usage data directly to license costs. It also enables IT admins to monitor application usage and find areas for potential license cost savings.

This report enables users to:

  • Identify unused or under-utilized software licenses

  • Quantify potential cost savings

  • Make informed license reclamation and renewal decisions

The Report provides configurable application monitoring, intuitive filtering, time-range analysis, and exportable insights.

Accessing the Report

  1. Log in to the WXP. The Home page is displayed.

  2. From the left menu, click Analytics. The Analytics dashboard is displayed.

  3. On the Analytics page, click Modern Reports tab > License Lens.

Adding Applications for Monitoring

  1. In the left menu, click Analytics. The Analytics dashboard is displayed.

  2. On the Analytics page, click Modern Reports tab > License Lens. The License Lens report is displayed, showing applications previously configured.

  3. On the License Lens reports page, click Add. An Add Application dialog box is displayed.

  4. Add the following details:

    • Application Name: Search for and select the application to monitor.

    • Billing Cycle: Select either Annual or Monthly.

    • License Cost: Enter the cost per license.

      • Currency: Select the applicable currency. By default, USD is selected.

  5. Click Next. The Configure Usage is displayed in the same dialog box:

    • Minimum Usage Threshold (Hours): Define the minimum number of usage hours required to justify retaining the license.

Note: Usage hours are rounded to the nearest whole number for reporting and reclamation threshold calculations. Usage below 0.5 hours may display as 0, while usage of 0.5 hours or greater may round to 1. As a result, approximately one full hour of accumulated usage is generally required for a value greater than 0 to consistently appear in reporting. In some charts, fractional usage may still appear visually even when the displayed rounded value is 0.

    • Usage Monitoring Method: Select one of the following:

      • Time apps is in focus: The total time the app window is active.

      • Total app runtime: The total time that the application runs in the foreground. It does not include the time that the application runs only in the background.

Note: License Lens collects usage data for foreground applications only. Applications or processes that run only in the background do not appear in the report even when they are installed and running.

  6. Click Add.

After saving the configuration, the application appears in the main dashboard.
