Introduction

This article outlines common license entitlement scenarios that may arise during device onboarding or plan transitions within the HP Workforce Experience Platform (WXP). It provides guidance for Onboarding Program Managers, IT Admins, and Partner Admins on how to handle expired plans, overenrolled devices, and license key upgrades. By understanding these use cases, you can ensure proper seat allocation, prevent service disruptions, and maintain compliance with active license plans. The steps also cover how to add new license keys and move devices between plans as part of the onboarding workflow.

License Entitlement Use Case Scenarios

Below are three use case scenarios that may happen action by Onboarding Program Manager, the IT Admin, and/or the Partner Admin. 

Use Case 1:

  1. A customer has a license with 10 seats, but the plan has expired; with the plan and all seats expired, the account becomes Suspended.

  2. The customer adds two devices but doesn’t have seats for them on the old plan, making the old plan Overenrolled.

  3.  A license key with 10 seats is added, and the user is prompted to move the two new (overenrolled) devices to the new plan.  

Use Case 2:

  1. A customer has a plan for with 10 seats, but that plan has expired; with the plan expired, the account becomes Suspended.

  2. The customer adds two devices but doesn’t have seats for them on the old plan, making the old plan Overenrolled. So, they require a new license with at least 12 seats.

  3. A license key with 20 seats is added, and the user is prompted to move all currently enrolled devices to the new plan (with a minimum of 12 seats).

Note: In case there are not enough seats, the new plan will show as Overenrolled until the extra devices are unenrolled or more seats are added.  

Use Case 3:

  1. A customer has a license for 10 seats, but two (2) seats have recently expired, and the plan became Overenrolled.

  2. The customer wants to add coverage for the two older devices that expired and to add two new devices. However, the customer doesn’t have enough seats for those four devices. So, the customer will need additional seats which will be provided with a new plan. 

  3. The customer can:

    1. Buy four seats now with licenses and immediately move the two devices with seats that expired and the two new devices along with the new plan. Or,

    2. Buy two seats for the expired two seats and move those two older devices to the new plan but wait until later and buy two more seats with licenses to move the two newer devices to the new plan.

Note: In case there are not enough seats, the new plan will show as Overenrolled until the extras devices are unenrolled or more seats are added.
